Updated Monthly Chronic Absence Reports Now Available!

3/27/2015

Updated “end of month” Chronic Absence reports are now available for internal OUSD staff.  The report augments the weekly reports, and gives a breakdown of Satisfactory Attendance (attending 95% or more of school days) as well as Chronic Absent (attending 90% or less of school days). Extra items include:

·         Percent of “Severe Chronic Absent” (attending 80% or less of school days) for all indicate                       student groups, as a subset of Chronic Absent.
·         Summation by grade level within each school as well as the entire district
·         Summation across entire ethnic groups as well as by ethnicity/gender
·         Summation of percent chronic absent for groups such as English Learners and by gender
·         Breakdown of percent chronic absent by teacher and course for grades K-5

The purpose of Chronic Absence (CA) reports is to inform district leaders at a given point in time (end of the week or month) the number and percent of their presently enrolled students that are chronically absent (attendance rate of 90% or less).  This enables principals to monitor their school’s progress in fighting student absenteeism as well as progress for each student with an attendance problem on a weekly basis and enact interventions as needed.  Chronic Absence reporting has become integral to OUSD efforts to boost attendance at all grade levels.

The Comprehensive Student Data Roster is a student-level Excel spreadsheet containing as many as 100 data points for each pupil.  A school-wide CSDR is available for download for each of OUSD's 86 community schools.  An alternative collection of teacher-specific -- "only my students" -- CSDRs is also provided.  Please note that you must be signed into your OUSD Gmail in order to access the Protected Student Level Data folder. If you're having trouble viewing this folder, please contact Rattana Yeang for support.

The CSDR draws from separate data sources to bring together:
1. Demographics
2. Enrollment (current school and teacher(s), current Pathway, prior-year school, and summer school)
3. English language fluency status (as calculated during semi-annual reclassification review)
4. Assessment score series from OUSD Benchmark and California State standardized instruments
5. Engagement metrics (attendance and suspension data)

Fresh data points to the CSDR in the March 20 edition:
1. Mid-Year Literacy:  SRI, F&P, DRA, DIBELS
2. Mid-Year Elementary Math Benchmarks
3. Pathway participation; CAHSEE Status now distinguishes "Not Tested"
4. GPA from each marking period
5. Early Warning Flags from each marking period
Full list in the CSDR Guide

What additional resources are there?
1. Guide to CSDR data points
2. "Make the Most of Excel" guide to exploiting the CSDR
3. Videos on how to filter, sort, and print, in Excel
4. OUSD Data Request for your specific questions

What else should I know?
1. It will be refreshed again after every marking period for secondary schools
2. It will be refreshed again after every trimester for elementary schools

Need 1 on 1 support?
We can visit your site to give you a personal consultation on how to get the most out of your CSDR. To request a site visit, email us at [email protected]

The reports are now available in each school’s Protected Student Level Data folder in the Office Referrals folder. To view your reports, please click on the link in each folder and download to your computer.

These reports provide the following information on 3 Excel workbooks:

  2. Office Referrals by Referral Person: A summary of the number of referrals by teacher,
  3. Office Referrals by Student: A summary of the number of referrals by student.

An Office Referral is any discipline record entered in Aeries.net through Assertive Discipline or Aeries CS through Discipline that is not an:

  • Out of School Suspension
  • Discipline record where the first violation is Attendance, Attendance SART, Attendance SARB, Cutting, Truancy or Tardy
We hope that these reports will give sites data they can use to help identify and address discipline patterns.  We plan to produce this report frequently going forward and we'll continue to let you know when they have been updated.

If you have any feedback, questions, or further requests around office discipline data please feel free to reach out to the report author Cat Kealey.
